Local non-profit organization seeking a Bilingual Front Office Assistant for their Admissions department. The selected candidate for this position will assist families by interpreting/translating documents and/or services offered. Must have excellent data entry, organization and communication skills. Candidates must be friendly-yet-firm, punctual, composed, open-minded, and should possess key relationship-building skills. Candidates must be fluent in both Spanish and English (reading, spoken, written).
Responsibilities include, but are not limited to:
- Performing receptionist, clerical, and administrative duties for the Admissions & Recruitment department and/or the agency
- Provide professional, helpful, and positive assistance to walk-in clients, applicants, and visitors: record check-in times, and notify appropriate personnel in a timely fashion.
- Maintain security by following procedures, monitoring visitor logs, and issuing visitor badges.
- Keep a safe and clean reception area by complying with procedures, rules, and regulations.
- Create labels for application files, data entry, ordering supplies, and tracking/monitoring the department budget
- Assist with daily and year-end document retention processes for students who drop and/or age-out of the program.
- Receive incoming contacts in a professional, helpful and positive manner.
- Disseminate verbal/written messages in a clear and concise manner while maintaining confidentiality.
- Provide clients with detailed information related to referral agencies, along with instructions on how to apply to program
- Ask questions for clarification and record detailed notes in application file and in data systems.
- Determine family eligibility according to program requirements.
- Other duties as assigned
Qualifications:
- Previous experience in customer service, administration or other related fields
- Ability to prioritize and multitask
- Deadline and detail-oriented
- Ability to follow oral and written instructions with ability to read, interpret, and present information efficiently and effectively.
- Ability to take initiative, multi-task and work well under pressure in a fast paced environment
- Must maintain strict confidentiality of extremely sensitive data, records, files, conversations, etc.
- Must be able to pass intermediate proficiency assessments in Word, Excel, Data Entry
